Villa Run Annual Meeting

· Opening prayer- Carol Moehn

· Meeting called to order

· Marty introduced new board members and introduced Karen Wooten as Vice President. Marty will stay on the board as president

· Marty explained the Marketing agreement- Choice Properties- 10 year agreement 150-180 K over the 10 years. Deerfield village has also partnered with Choice and has received significant payment.

· Marty made a motion Motion made to donate $200 to the church for allowing us to use the facility for meetings. Motion moved by Barb & Dave

· Treasurers report by Jim Brown. Jim is working on the numbers and doesn’t have a definitive answer on the final numbers. Not confident in distributing until all is updated. Look at sending out with the newsletter.

· Marty explained that Insurance went up $53 a person which would equal a possible increase of $6-$7 per month for our dues.

· Plant a tree- Marty discussed his vision of the Plant a Tree Project for Villa Run. Residents were very responsive and agree with the idea. Steve is working with Paul Gamble to identify the best tree options for Villa Run.

· Steve discussed issues with plating grass seed. Water lawn- if grass seed is planted it is the owners responsibility for water to ensure growth.

· Brenda McKracken volunteered to take open area. She will be assigned to Area#4

· Barb reviewed the Process for requisition. Back to the basics! All requests will be presented and approved by the board according to Rules & Regulations.

· Announced that Newsletter, Assessment envelopes/ ACH Forms and updated Roster will be distributed soon.

Villa Run Board Meeting May 21, 2025

Meeting Minutes

Introduced guest speaker – Paul Gamble

Paul thanked everyone for their patience during the rainy season. Paul stated that he had added additional fertilizer not anticipating the amount of rain that would occur.

Paul asked that residents please move dog chains prior to them mowing as the chains cause severe damage to the mowers. They will repair the Villa entrance sign once they have time and there is not a large amount of water in that area.

Interim Board member

Marty updated everyone on Phil Hackers condition. While we are unsure of how long Phil will be recovering, Bob Mitterholzer will assist with the Treasurer duties.

Street repair

Steve will take over the street repair project in Phil Hackers absence. Phil Hacker, Jill Melfi and Paul Schneider had already walked the property and identified areas that need repair. Hopefully, the repairs will begin in late June/ early July. Residents were instructed to contact Steve if they have identified a repair so he can ensure it is on the list.

Drainage update

Steve explained the drainage issue on the East side of the property and the board decided to just do minor repairs at this time in hopes to correct the issue and save money.

 

Board/ Management Company concerns and action needed.

Reviewed with all in attendance the concerns regarding moving to a Property Management company with Costs being a major issue. Marty Laws agreed to stay on as President if the position was a paid position. Barb Carpenter made the motion to approve the President and Vice President become paid positions immediately. Peggy Dinges 2nd motion and all in favor approved. A plea was made to the residents in attendance to step up and volunteer for the open positions on the board.

 

Presidents 1–3-year Plan for Villa Run

Marty would like to see more trees planted in our common area and park benches installed in strategic places throughout Villa Run where people could sit and visit and for our long-distance walkers to sit and take a break. Maybe the park benches could be a dedication in memory of someone by our residents.

More of a longer time frame goal, 3-5 years would be to see the East side of our property beyond our creek developed into something. Perhaps a dedicated dog park so people can exercise their dogs right here at home and maybe even a pavilion where families could pi. c or host a large family gathering.

 

Villa Run Golf Outing 2025

Save the Date! 2nd Annual Villa Run Golf outing and Picnic will be on September 24. More info will be in the upcoming newsletter.
